Your information
Privacy notice
Last updated: 26 October 2026.
This notice explains how we use personal information when you browse our website, enquire, hire a studio, book a class or event, use an instructor account or choose our email updates. It also explains our use of CCTV and promotional photography at BOH.
Who is responsible?
BOH Studios Ltd operates this website and is responsible for the personal information used to run the platform, studio hire and its own services and marketing. BOH Dance Ltd is responsible for information used to deliver its Bachata classes, memberships, dance events and its own marketing. The company or instructor supplying your booking is identified in the booking journey.
Other instructors independently run their classes. They receive the information needed to deliver your booking and are responsible for their own teaching, communications and other uses of that information. Ask your instructor for their privacy notice. Booking through BOH does not subscribe you to an instructor’s marketing.
For either BOH company, email hello@boh-studios.com or write to BOH Studios, 104 Commercial Road, Bournemouth, BH2 5LR. Tell us which service or company your enquiry concerns; we will direct it to the appropriate person.
What we collect and why
- Enquiries and bookings: your name, email, telephone number where supplied, requested service, room, dates, ticket details and correspondence. We use these to respond, arrange and deliver the service, handle changes and send necessary booking messages. Our basis is taking steps at your request before a contract and performing that contract. Where you are a contact for someone else’s booking, we rely on our legitimate interest in administering that booking.
- Payments and accounts: amounts, transaction and invoice references, payment status, refunds and disputes. We use these to administer contracts and meet tax and accounting obligations. Stripe collects payment-card details directly; our website does not store full card numbers or security codes.
- Class and event attendance: reservations, ticket identifiers, QR check-in records and changes. We use these to deliver your booking, manage capacity and prevent duplicate admission, relying on contract and our legitimate interests in running safe, accurate registers.
- Sign-in and security: account identifiers, verified contact details, access roles, session information and technical records such as IP addresses and request logs processed by our infrastructure providers. We use these to provide accounts, protect bookings, investigate faults and prevent misuse. Our bases are contract where needed for your account and legitimate interests in securing and maintaining the service.
- Instructor accounts: contact and business details, agreed hire arrangements, class descriptions, timetable, prices, profile photos, social links and insurance information. We use these to administer our relationship, publish the class information you submit and manage insurance requirements. Our bases are contract and legitimate interests in managing studio hire and checking appropriate insurance. Public profile and class information is visible to website visitors.
- Instructor payment setup: Stripe collects identity and bank details securely. BOH stores the connected-account identifier and setup, payment and payout status needed to arrange payment. Stripe also processes information for its own financial compliance and fraud-prevention purposes.
- Booking-source records: we record whether a student came through BOH or an instructor’s link and recognise repeat bookings using the booking email. This supports the agreed instructor payment allocation and our legitimate interest in administering the booking service. It does not authorise marketing.
- Privacy requests: your contact details, request, proportionate identity-check information and our response. We use these to meet our data-protection obligations and retain evidence of how the request was handled.
Required fields are identified on forms. Without the information needed to arrange a service or verify access, we may be unable to complete the booking or provide that account feature. Do not put payment-card details, health information or criminal-record information in general enquiry fields. If you need an adjustment or safeguarding support, contact us first so we can agree what information is necessary and how to provide it.
We do not use the website to make solely automated decisions producing legal or similarly significant effects about you. Availability, duplicate-booking and payment-allocation checks support booking administration; contact BOH if you believe a result is wrong.
Where information comes from
Most information comes from you. We also receive booking details from the person arranging a booking on your behalf, the relevant instructor, and payment or sign-in status from Stripe and Clerk. Existing bookings, memberships, instructor records and diary entries have been transferred from BOH’s previous Wix system and Google Calendar to maintain reservations and service history. Transferring an existing record does not create marketing consent.
Some classes are suitable for younger dancers. Only provide the participant details needed for the class and follow the instructor’s age and parent/carer booking requirements. Instructors are responsible for explaining any additional information they need for their own children’s classes.
Who receives information?
Authorised BOH staff and the instructor or organiser delivering your booking can access relevant information. We use these providers to operate the service:
- Cloudflare: website delivery, security, application hosting, database, file storage and private backups.
- Clerk: account sign-in, identity verification for access and session management.
- Stripe: checkout, payment processing, refunds and instructor payment-account setup.
- Resend: delivery of website emails, including the recipient address, message content and delivery records.
- Wix and Google Calendar: existing booking and diary records used during the transition to this platform.
We may also disclose necessary records to our accountants, insurers, professional advisers, or authorities where required by law or necessary to establish, exercise or defend legal claims. Access is limited to the relevant purpose. We do not sell your personal information.
When a ticket button takes you to an external provider such as dance.cash, that provider’s own privacy information applies to the booking made there. Social-media and map links take you to services with their own privacy terms.
Processing outside the UK
Our providers operate internationally, including in the United States, so information is not necessarily kept only in the UK. Their published data-processing terms provide for UK-recognised adequacy arrangements where applicable or contractual safeguards, including the UK Addendum to Standard Contractual Clauses. You can ask us about the safeguards applicable to your information.
Provider information: Cloudflare data-processing terms, Clerk data-processing terms, Stripe privacy notice and Resend data-processing terms.
How long we keep information
We keep information for its purpose, rather than treating every record as permanent. The following periods and criteria apply:
- Accounting records: records required for company accounts and tax are normally retained for six years from the end of the financial year they relate to, or longer where an enquiry, transaction or legal requirement makes that necessary.
- Other booking and service records: while needed to fulfil the service, administer changes or refunds, and resolve complaints or legal claims. Records needed for accounting follow the accounting period above; unrelated information is not retained merely because a payment record must be kept.
- Closed service enquiries: personal details and supplied artwork become eligible for removal 12 months after closure where there is no linked quote, outstanding follow-up, privacy request or retention hold. Enquiries connected to quoted work follow the service-record criteria.
- Instructor accounts and insurance: while needed for the teaching or hire relationship and to resolve related obligations or claims. Insurance documents have a two-year review marker; this is not a promise of automatic deletion while a document remains needed. Public profiles can be updated through the instructor portal or by contacting BOH.
- Marketing: your selected subscription continues until you withdraw it. We retain a limited opt-out record to avoid contacting you again and evidence of consent or withdrawal for as long as needed to demonstrate compliance or resolve a complaint.
- Security and privacy-request records: for the period needed to investigate the relevant issue, protect the service and demonstrate how a request was handled, taking account of any ongoing dispute or legal obligation.
Some removal is automated and some requires BOH review. A legal, insurance or dispute-related need may require a specific record to be kept longer. Private recovery backups may retain an older copy until the backup expires; they are used for recovery, not routine marketing or account access. Contact us if you want to know what we still hold or request deletion.
Email updates and your choices
Booking, payment and account messages are separate from optional marketing. At Email preferences you can choose updates separately from BOH Studios Ltd and BOH Dance Ltd. We use consent for these optional emails and record the wording, choice, time and source of consent. Signing in, booking a class or importing a membership does not subscribe you.
You can withdraw consent in your preferences, through the unsubscribe link in a marketing email, or by emailing us. This does not affect earlier lawful use or essential service messages. Your marketing choices are not shared with independent instructors for their own campaigns.
Cookies and similar technology
Our website uses sign-in and service technology supplied by Clerk, Cloudflare and Stripe to manage sessions, protect the site and provide requested payment features. These services may process cookies, device information and security signals. Blocking essential cookies can prevent sign-in or checkout from working.
We have not added advertising pixels or visitor marketing-analytics tags to the website. If we introduce optional technology that requires consent, we will ask before it runs. Google Maps and social-media pages open through links rather than embedded feeds. See Stripe’s cookie information for its payment services. You can also manage stored cookies in your browser and sign out when using a shared device.
Instructor documents and sensitive information
Insurance evidence is restricted to the instructor and authorised BOH users who need it to administer studio hire. It is not published on class pages. Our website does not accept new DBS certificate uploads; do not send certificate copies by email. Any necessary safeguarding check must be arranged separately with BOH, with an explanation of the information required, lawful basis, authorised access and retention before it is recorded.
CCTV at BOH Studios
BOH Studios Ltd operates CCTV in all studios and social areas for premises security, safety and incident investigation. CCTV does not record audio. We rely on our legitimate interests in protecting people and property and investigating incidents, and legal obligations where applicable to our premises licence.
Routine recordings are kept for 28 days in line with our premises licensing arrangements. Relevant footage may be preserved longer where needed for a specific incident, insurance claim, legal obligation or investigation, and is removed when that need ends. Access is restricted to directors and approved staff. Necessary footage may be shared with police, insurers or other authorised recipients for those purposes.
You can request footage of yourself using the contact details below. Give us the date, approximate time and location so we can find it before routine recordings are overwritten. We may need to protect other people’s identities when responding.
Promotional photography and video
The BOH company organising a class, event or promotion may take photographs or video to show our activities on our website, social media and promotional materials. We make filming arrangements clear with instructors. You can tell the instructor, camera operator or BOH staff before or during filming that you do not want to appear, and we will respect that choice. Taking part in a class does not mean you have to agree to promotional filming. We do not film under-18s sessions for promotion.
For general coverage of adult classes and events, we rely on our legitimate interest in promoting BOH, subject to clear notice and your right to object. For a specifically arranged featured promotional appearance, we ask for your agreement and explain the intended use; where we rely on consent, you can withdraw it by contacting us. An instructor’s own filming and publication is their responsibility and should be explained separately.
We keep promotional material while it remains relevant to the activities being promoted and review its use when circumstances change or someone raises an objection. Contact us with a link or description if you want us to stop using an image of you. We will review the request and remove material from channels we control where appropriate. We cannot guarantee removal of copies already shared by others or recall printed material already distributed.
Your rights and complaints
Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction or portability, and object to uses based on legitimate interests. You can object to direct marketing at any time. Where we rely on consent, you can withdraw it without affecting processing that was lawful before withdrawal. Some rights have exceptions, including where we must retain accounting records or handle legal claims.
Use the form below or email hello@boh-studios.com. We may ask for proportionate information to verify your identity. We normally respond within one calendar month; if a lawful extension or clarification affects that timetable, we will explain it. Requests are normally free.
You can raise a concern with us and complain to the Information Commissioner’s Office, the UK data-protection regulator. You do not need to complain to us first.
Changes to this notice
We update this notice when our services or handling of information change. The date above shows the latest revision. Where a change materially affects how we use your information, we will provide an appropriate further notice.
Ask about your information
You can also email hello@boh-studios.com. A booking reference is optional. Do not upload ID or include payment-card, health or criminal-record information.
